Job Description
Job Title: Team Admin Assistant

Focus: Working as part of our highly collaborative Operations Team to assist the smooth and effective running of the organisation through a range of administrative and digital activities.
Key Responsibility Areas:
1. Record keeping and data reporting
- Assist with college database and student academic records processes
- Assist with preparation of data returns and reports to external bodies
- Assist with maintaining cloud-based systems and document filing.
2. Finance administration (working with Finance and Systems Manager)
- Administration and processing of income and expenditure.
- Assist with preparation of financial reports
3. Student liaison
- Assist with student enquiries from recruitment to induction
- Assist with physical and digital set up of study sessions and residential weekends
- Provide assistance to students and other staff members on study days
- Build trusting and supportive relationships with students
4. Staff team membership
- Additional college-wide administrative and digital activities where relevant.
- Membership of the Operations Team.
- Supportive and constructive membership of the St Hild College staff team. This includes assisting and collaborating in other areas to help the team with college-wide priorities and cover for staff absence.
Responsible to: Administrative Manager
Time allowance: Full time (38 hours/week) or part-time with job share.
Length of contract: Permanent (subject to six-month probation period)
Location: Based at our Mirfield office with some home working by arrangement and regular travel to our Sheffield office. Home-based working requires a good broadband connection.
Indicative availability: Standard working hours are Monday to Friday between 9 and 5 with occasional Wednesday evenings, Friday evenings and Saturdays in Mirfield by arrangement.
Weekly staff prayers (Weds 9:30am, online); staff meetings & lunches (half-termly on Weds, Mirfield), and annual staff residential (2 nights away, usually in July).
Salary and benefits: £23,500 annual salary plus all relevant travel expenses, provision of IT equipment or allowance, home working allowance, and ongoing professional development and training.
Pension: St Hild will pay a contribution of 10% of salary to the Church Workers Pension Fund for a lay person, or the amount indicated by the Lichfield scale to the Clergy Pension Scheme for an ordained person. Staff can make additional voluntary contributions via payroll.
Annual Leave: 25 days paid annual holiday in a calendar year, in addition to normal bank and public holidays. Also time off in lieu for evening and weekend working by agreement.
Professional development: St Hild encourages staff to pursue further professional development through further academic and teaching qualifications, mentoring and leadership development programmes, as appropriate.
Role Support: Line management will be provided by the Administrative Manager, Sam Warren in liaison with the Finance and Systems Manager, Louise Johnson. Collaboration and support for the role will come through the Operations Team
